1. Create a Reserved Venue Plan for Performance Seating
a) Go to the Venues page and click the Venue Plans tab
b) Click New Venue Plan and select Reserved Seating
c) Create the Venue Plan that you'll use to seat attendees for your Performance. See our full Guide on creating a Reserved Seating Venue Plan
NOTE - it is important that you have the correct Sequential ID for the rows that you build, as this will determine how seats are auto-sat. Please contact Support before building your Plan and we can assist.
2. Create a new Price Profile
a) Go to the Events page and click into your Event
b) Click the Prices tab and then the Price Profiles bar
c) Click New Price Profile and connect to your GA Price Table. Make sure to select the Price Table that is connected to the Performance you are seating for
d) Add Bands to the seats that you'd like to seat your attendees on. See here for the full Guide on creating a Price Profile
NOTE - do not connect this Price Profile to Performances as it will impact sales and/or capacities (as you would then be selling for a Reserved Seating Event).
This Price Profile is just for seating attendees internally (see below).
3. Open Performance Seating Plan
a) Go to the Performance you would like to seat guests for
b) On the Performance page, click Performance Seating
c) On the Performance Seat pop-up, select the Price Profile you want to use to seat attendees and click View
4. Sort Data for Orders
a) On the right, use the following buttons to sort and view the data you want to view for your Orders/Customers:
Data - choose to see orders with Transaction Notes, Split Groups (if you have already seated any groups), Products and Form Responses.
If Products and Form Responses are selected, you can select which particular ones to viewSort - sort by Customer name, Number of tickets, Order date and whether you want to view in Ascending or Descending direction
Filter - can filter orders by Price Band, Seating Status, Customer, Transaction Notes, Products and Form Responses
b) To see details of each order, click the dropdown arrow next to the Customer name
5. Auto-Seat Attendees
NOTES - this will automatically seat attendees who are currently unseated according to Price Band. This could mean that any previously auto-seated attendees could be moved.
No manually seated attendees will be moved. If you would like to manually seat attendees, see step 6.
a) Want to preserve the current state of the Venue Plan, i.e. keep all attendees who have already been seated in their current position (if not, skip to step 5c)?
Click Lock all
b) On the pop-up, click Lock all seats
NOTE - this will mean that all seated attendees will show as manually seated and will not be moved by future runs of the Auto-Seat. They can still be manually unseated (see step 7)
c) Want to automatically seat all remaining attendees? Click Auto-Seat
d) On the pop-up, double check that you're happy with the info about Auto-Seat and click Run Auto-Seat
e) Once Auto-Seat is complete, you will see the right of the page updated with how many seats have been seated and are available
f) Underneath, the seated Orders/Customers will now a tick next to them, plus a symbol that show if they have been split up into 2 or more groups
g) To see where attendees have been sat, hover over their name on the right and their seats will be highlighted on the plan
6. Seat Attendees Manually
a) If you'd like to pick the seats for your attendees, click the dropdown arrow next to the Customer's name. This will show you each ticket type, plus any Products, Transaction Notes or Form Responses (to control the data you see here, see step 4)
b) To manually seat the tickets in the order, use the Paintbrush (hold down shift + cmnd if using a Mac or shift + cntrl if using a Windows) to highlight the seats on the Venue Plan
c) Click Seat Group on the Order to add those attendees to the seats you've highlighted
d) Those seats will now be greyed out on the plan
NOTE - these seats will now be seen as manually seated and so will not be moved by future runs of the Auto-Seat.
7. Unseat Attendees
a) Want to unseat all attendees? Click Unseat all in the top right
b) To confirm that you'd like all seats will become available again, including those which have previously been locked, click Confirm unseat all on the pop-up
c) Want to unseat certain groups/orders? Click on the dropdown arrow next to the Customer's name and click Unseat Group
NOTE - the page auto-saves so once you're done seating/unseating, you can leave the page and the Performance Seating Venue Plan will be left as it is.
