Guide: Bulk Channel Updates (Channels On/Off Sale)

Follow the steps below to update Channel On/Off Sale settings across multiple Performances

You can make bulk changes to your Channels' On/Off Sale settings directly from the Performance list. When making a bulk update, there are two update options, each suited to different scenarios:

  1. Edit specific Channels

  2. Replace existing Channels

For more info about these options, see below.

NOTE - The Channels On Sale Now count shown in the Performance list reflects Channels currently on sale; it is not the total number of Channels configured on a Performance. After a bulk update, this number may not change if the Channel you've added isn't on sale yet.

Accessing Bulk Channel Updates

  1. Go to the Events page and select your Event. This will take you straight onto your Performances page

  2. Select the tick box next to the Performances you want to change to access the Action bar at the bottom of the screen. To apply changes to all Performances in one action, click Select all [n] on the Action bar

  3. Click the Channel On/Off Sale icon on the Action bar. Hovering over the icon will reveal the tooltip label so you can confirm you are clicking the right action

Bulk action bar with "Channel On/Off" tooltip visible
  4. Select from the following options from the pop-up:

    1. Edit specific Channels - select one or more Channels to update their settings directly. Other Channels on the Performances will remain unchanged

    2. Replace existing Channels - set every selected Performance to the same Channel schedule. You can also use an existing Performance as a starting point.

      1. If no Channels are selected, the selected Performances are taken off sale.

Channels On / Off Sale modal, Step 1 of 3: "How would you like to proceed?" with both options visible

Option 1: Edit Specific Channels

Use this option when you want to adjust or add a selection of Channels across many Performances. Only the Channels you select are updated - all other Channels on the Performances remain unchanged.

  1. Select Edit specific Channels and click Next

  2. Use the Channel dropdown to add one or more Channels you want to add or update. Nothing else on the Performance is touched until you set a rule for a Channel

Step 2: empty channel selector ("No Channels selected yet")
  3. For each selected Channel, set the On Sale and Off Sale rules on the dropdowns. Both offer the same three options:

    1. Always (On Sale) / Never (Off Sale) - no date restriction is applied; the Channel stays on sale indefinitely or is never taken off sale

    2. Specific date and time - the Channel goes on/off sale at a date and time you specify

    3. Set amount before/after start time - the Channel goes on/off sale relative to the Performance start time, e.g. 30 minutes before, or 1 day after

Exchanges channel added, On Sale set to Always, Off Sale dropdown open (Never / Specific date and time / Set amount before/after start time)
  4. Click Next to review your changes. A summary table lists the Channels that will be updated and their new settings

  5. Click Save to apply your updates to all selected Performances

Step 3 review: "Your updates will be applied to all selected Performances. Other Channels on the Performances will remain unchanged." Table shows Exchanges: Always / 28 Days After Start Date.

NOTE - Only the Channels listed in the summary are affected. Any Channels not included in your selection remain exactly as they are on each selected Performance.

Option 2: Replace Existing Channels

Use this option when you want to standardise every selected Performance to the same Channel schedule, whatever each Performance currently has. This is a full replacement, not an addition - any Channel that is not in your final list is removed from the Performances.

  1. Select Replace existing Channels and click Next

  2. Select a Performance to copy from (optional)

    1. Pick an existing Performance to copy its current settings

      1. This is only a convenience starting point; you can skip it and build the list from scratch

    2. This list only contains the Performances you selected in the bulk action - it is not a search across every Performance on the Event

Source performance selector; the list only contains performances selected in the bulk action

  3. Select Channels to set visibility for

    1. Add or adjust the Channels that every selected Performance should end up with

    2. You can add Channels on top of anything copied from the Performance, remove a Channel using the on its tag, and edit each Channel's On Sale / Off Sale rules

Source performance selected: Call Centre, Website and Box Office auto-populate with their existing settings

  4. Click Next to review. What you see depends on whether any Channels are selected:

    1. If Channels are selected, the review shows the full Channel list that will be applied to all selected Performances, with a warning that this replaces their current Channel settings entirely

    2. If no Channels are selected, the review confirms that all selected Performances will be taken off sale

Step 3 review: "The selected Performances will be set to exactly these Channels, replacing their current Channel settings." Table shows Call Centre, Website and Box Office with their copied settings.

  5. Click Save to apply the Channel list to all selected Performances

TAKING PERFORMANCES OFF SALE — if you leave both selectors blank and continue, this removes all Channels from the selected Performances, taking them off sale entirely. This is a deliberate way to take a run of Performances off sale in one action.
